We are currently seeking a Nursing Administration Assistant to join our team in Toronto, Ontario. The Nursing Administration Assistant will provide clerical services to all Resident Home Areas. The Nursing Administration assistant will report to the Director of Care.

• Duties:
o Provides tours for prospective residents.
o Works with Ontario Health at Home in coordinating bed vacancies.
o Coordinates resident admissions/initiates client files and admissions agreement.
o Prepares computerized admissions chart.
o Provides Finance Department with details regarding resident fess, admissions dates, discharge dates.
o Ensures resident payment is collected monthly and follows up on any unpaid accounts.
o Manages resident trust accounts.
o Codes invoices and delivers to Finance Department.
o Maintains supply inventory, prepares orders as required.
o Maintains schedules of resident appointments both internally and external to the facility. Arranges for escort services if family member is unable to accompany resident to external appointment.
o Assists with staffing schedule and payroll. Documents staff absences, shifts worked, and other paperwork related to staffing.
o Attends applicable team meetings.
o Performs incidental clerical work including typing, filing, delivering messages, sorting mail, photocopying and faxing.
o Assists in special projects and performs other duties as required.

Job Requirements:

• Position Requirements / Skills:
o Completion of a post-secondary school program in a related field is required.
o Proficiency in written and oral communication
o Attention to details is required
o Keyboarding speed of 50 wpm and experience with Microsoft Office and working within a Windows computerized environment. Knowledge of Point Click Care an asset
o Minimum of one-year clerical experience in a similar setting
o Experience in healthcare records management
o Ability to deal with public and the long-term care facility resident population with empathy and compassion in a calm and professional manner
o Proficiency in time management and organizational skills
o Handling sensitive information, including knowledge of patient privacy laws, and ability to maintain confidentiality
o Strong knowledge and understanding of health care/medical terminology is required
o Strong understanding of care procedures, including general knowledge of nursing practices, patient care procedures, and elder care, although not directly involved in clinical care
o Knowledge of Greek culture and language, an asset, but not required

Working Conditions:
o Office setting, within the retirement home.
o Sedentary Work: Most of the work is desk-based but may require some walking around the facility.
o Light Lifting: May occasionally involve lifting or moving files, supplies, or light equipment.
o High Responsibility: The role may come with high responsibility, as mistakes in scheduling, records, or communication can affect resident care.
o Pressure in Emergencies: The assistant may need to handle urgent or stressful situations, particularly if there are issues with resident care or staff shortages.
o Challenging Interactions: May interact with residents suffering from dementia, Alzheimer's, or other cognitive impairments, which can make communication challenging.
o Stress and Burnout: Working with elderly residents, especially those with serious medical or cognitive conditions, can be emotionally taxing. Must be able to cope with loss when residents pass away.
o Infection Risk: May be exposed to illnesses or infections, so following strict hygiene practices is crucial, particularly during flu season or pandemic conditions.

Language Requirements: English is required, Greek is an asset
Wages: $28.39 per hour / Overtime rate of $42.59 per hour after 44 hours of work per week
Work Hours: 40 hours per week, with occasional overtime.
Benefits: 10 days' vacation, and standard company benefits upon completion of probationary period, including dental, health, prescription drugs, and educational assistance.
