Responsibilities of the Administrative/Nursing Assistant at Champlain Long Term Care Residence

The Nursing Administrative Assistant is responsible for assisting with all the day-to-day facility wide and nursing administrative functions as directed by the Executive Director and Director of Care.

Under the direction of the Executive Director and working in conjunction with Information Technology solutions providers, the Administrative/Nursing Assistant is responsible for developing, defining, implementing, and supporting information technology strategic solutions in the Home. Providing these services in an effective and efficient manner will ensure maximum access when implementing technology services and resources.

In partnership with the Director of Care, the Nursing Administrative Assistant develops and maintains all aspects of the nursing schedule.

Essential Duties are the technical skills and knowledge that an employee requires in order to perform their role. Below is detailed information on required Essential Duties for your position.
  • Assists in the production and distribution of nursing department communiqués under the direction of the Director of Care.
  • Ensures that the department maintains standards, which are consistent with the CARF Canada and guidelines for long-term care.
  • Ensures timely signing of the annual contracts with responsible parties/residents.
  • Assists with the completion of variance reporting for staffing hours with Director of Nursing
  • Ensure appropriate staffing patterns, effective utilization of staff and materials management.
  • Assists with the annual Home budget for the departments in relation to IT services.
  • Supports recruitment, orientation and retention initiatives
  • Demonstrates good knowledge of Collective Agreement, Employment Standards Act, Labour Relations Act, and Occupational Health & Safety Act.
  • Completes and maintains scheduling and payroll for all nursing personnel.
  • Has the ability to problem solve, conflict resolution skills and understands team concepts and team building.
  • Analyze and establish technology objectives for the organization.
  • Fosters a positive work environment, understands team concepts and team building.
  • Participates and contributes to the management team meetings, Leadership and Partnership Team, Joint Administrative Assistants Committee and Nursing Management Team.
  • Submits documentation, reports, and financial information to the Executive Director and/or Director of Care as requested.
  • Plan, organize, direct, control and evaluate the operations of information systems.
  • Coordinates IT contract services as required, ensuring timely service, and resolution.
  • Provides ongoing software support to employees in the Home.
  • Educates staff on the Ministry of Health Standards, continuous quality improvement, new policies and procedures and other related topics.
  • Maintains records management
  • Responsible for Administration and Nursing Human Resources performance indicators.
  • Maintains the nursing absenteeism reports.
  • Required to understand the nature and meaning of quality indicators used by the Home and to understand which indicators are publicly reported.
  • Required to participate in the improvement of the quality indicators and achieve satisfactory results.
  • Monitors documentation systems and processes for quality and adherence to standards.
  • Responsible for IT performance indicators and quality improvements.
  • Other duties as assigned and or as indicated in Job Task Inventory

Qualifications

  • Bilingual - French and English
  • French Speaking Preferred
  • High School graduate or G.E.D. with courses in typing and mathematics. Nursing background is an asset.
  • Working knowledge and high comfort level to use computer hardware and software programs.
  • Expedient data entry skills.
  • Sense of responsibility, integrity, and confidentiality.
  • On the job training in business office procedures in this facility.
  • Must be well groomed, patient, courteous, tactful, and pleasant.
  • Must have the ability to cooperate with other personnel.
  • Must be level headed and calm in emergencies.
  • Excellent knowledge of Microsoft NT, Microsoft Office
  • Experience with IT support and troubleshooting.
  • Information Technology background.
  • Long Term Care background is an asset.
  • Proficient knowledge with computer software and hardware systems and programs.
  • Strong management/leadership skills.
  • Analytical, problem solving and strong decision making skills
  • Strong organizational skills
  • Effective communication skills both verbally and written.
  • Possess cultural sensitivity and awareness.
  • Second language is an asset.
  • Must have a clear vulnerable sector screen, no older than 6 months, TB test results less than 6 months old, must be able to provide three supervisory references.
  • Champlain Long Term Care Residence recognizes the importance of immunization to protect our residents, staff and others from COVID-19.
