Position: Receptionist/Nursing Unit Clerk - Full Time, Permanent (Afternoons and Rotating Weekends)

The successful applicant will support the day to day operations of the main reception centre including greeting all persons entering the home, switchboard operations as well as marketing, administrative task completion and clerical duties in our long term care home. The successful candidate will support duties of the Nursing Unit Clerks on an as needed basis.

QUALIFICATIONS
• Formal training from a Health/Medical Office Assistant program is required.
• Applicants must have excellent interpersonal skills, time management skills and be well organized.
• Proficiency in Microsoft Office; Word, Excel and Outlook is a must.
• Must have well developed written and verbal communication skills.
• Able to maintain a positive attitude while under pressure.
• Must be flexible, self-directed and able to function in a fast paced environment.
• Previous reception experience required; long term care experience is an asset.

RESPONSIBILITIES include but not limited to:
  • Provide reception service to all residents, staff and visitors to the home; answering multi-line switchboard, monitoring entrance door access.
  • Supports all administrative duties including copying, typing (40+ words per minutes), arranges courier service, updating lists, mail outs/postage, room bookings, stationary and other tasks per reception duty outline.
  • Markets the home including greeting, providing tours and information.
  • Records maintenance and filing; personnel files, resident records, minutes, forms, other filing as assigned.
  • Participates in month end task completion and reporting.
  • Provides support to the unit clerks with medical administrative tasks as required/vacation coverage; charts for new admissions, health card verification/renewal, nursing supplies/ordering and inventory, physician orders, staffing replacement, medical records maintenance; knowledge of Point Click Care is an asset.
  • Understands and maintain staffing schedule within the Nursing Department
  • Manage time off requests, ROE, receiving and replacing call ins
  • Payroll for nursing department and support to accounting personnel
  • Ability to work within the interpret collective agreements
  • Provides support and reports to the Office Manager
  • Supports all general administration tasks; additional duties as assigned.
